&lt;div&gt;Drivers bring their own spare numberplates and attach them to the back of the sleigh. (We sometimes refund drivers if they have to have a numberplate made just for us.)&lt;br /&gt;

We cover the sleigh with a thick tarpaulin to protect it from weather when not in use. Ensure the sleigh has no sharp corners or sharp cable ties sticking out because these can wear holes in the tarpaulin which result in rain coming through.&lt;/div&gt;</summary>

We operate a Santa&#039;s grotto during most of the Switch On Day event.&lt;br /&gt;
&lt;br /&gt;
We charge a low entrance fee (£3.50) so that residents on lower incomes can take part. We have previously had a family rate of £10.&lt;br /&gt;
&lt;br /&gt;
We give books as presents to each child that visits. This is because they are universally acceptable (no worries about food allergies etc) and because children on lower incomes may not have many books and we would like to encourage reading.&lt;br /&gt;
&lt;br /&gt;
We have had a problem where families may end up with multiple copies of the same books rather than different books. In 2025 we are trying a solution: the books will be placed in different colour bags according to which book they are and families asked to take books from different bags. This means they will still get different books without knowing what they are. (Our volunteers tried out using coloured labels but the labels will not be clearly visible in the dim light of the grotto.)&lt;br /&gt;

Grotto visits are on a first come first served basis. We previously tried getting parents to book and pay in advance but this caused a large amount of admin work both when taking the bookings and also when letting people in when running the event.&lt;br /&gt;

&lt;div&gt;We need a house to house collection license from Swale Borough Council. These need to be applied for each year and cover the whole sleigh round period for that year.&lt;br /&gt;

We typically start the sleigh rounds one week after Switch On Day in order to give time for volunteers to recover from that.&lt;br /&gt;
&lt;br /&gt;
A sleigh round typically runs from 6pm to about 8:30pm in weekends and earlier on Saturdays.&lt;br /&gt;
&lt;br /&gt;
We publicise each sleigh round on our social media account but we do not announce the exact routes, only the general area. We do not announce the starting point because we do not want large crowds to assemble because small children tend to run out in the road and in front of the sleigh. Also we do not want to disappoint children who arrive expecting to see Santa in the sleigh but instead see the sleigh being set up and Santa possibly arriving in a car first.&lt;br /&gt;

We also only announce rounds on the same day as the round and not before.&lt;br /&gt;
&lt;br /&gt;
We do not do rounds on Sundays in order to give the volunteers some time off to rest.&lt;br /&gt;

* Collection buckets. Ours are red with a white lid with a slot for the coins. Most sleigh rounds need between 3 and 6 buckets depending on the number of volunteers.&lt;br /&gt;

* Reflective jackets - ours are red with silver reflective strips, and specifically include the word &amp;quot;VOLUNTEER&amp;quot; because we want it to be clear that we are not paid and are not working for the local council.&lt;br /&gt;

* Name badges with lanyards. Also printed on the badges should be the collection licence number as issued by the local council. The relevant text on our badges at the time of writing is: &amp;quot;House to house permit 24/501258/HTHCOL issued by Swale Borough Council in accordance with House to House Collections Act 1939. * Credit-card reader for those people who want to donate but don&#039;t have cash on them.&lt;br /&gt;

* Printed maps for the driver and the sleigh round leader. We use [[https://streetmap.co.uk/ Streetmap.co.uk]] and not Google Maps because Streetmap produces maps with dark lines along the edges of roads which makes them much easier to read when printed.&lt;br /&gt;

Santa is also too busy to give continual instructions and if surrounded by children cannot be expected to give instructions to move to the next street, for instance.&lt;br /&gt;

* Driver - drives the vehicle towing the sleigh.&lt;br /&gt;
&lt;br /&gt;
* Collectors - volunteers who accompany the sleigh with collectin &lt;br /&gt;

* Route planner - draws out maps of the routes to give to the driver and the sleigh round leader.&lt;br /&gt;

* Driver rota - organises drivers to be available for the various sleigh rounds. Sleigh rounds will run for around 4 weeks and generally at least 5 nights a week so &lt;br /&gt;

* Sleigh storage and charging - when the sleigh is collected and returned from and to its place of storage there needs to be someone there to look after it. The drivers only have knowledge of towing and will not know about the tasks needed to maintain the sleigh.&lt;br /&gt;

Everyone in the High Street must be notified of the date of the High Street closure at least 4 weeks in advance.&lt;br /&gt;

We produce a letter which is hand delivered to all those addresses that have public letter boxes and posted to those flats which do not have accessible letterboxes.&lt;br /&gt;
&lt;br /&gt;
We need about 120 copies for all the addresses in Sittingbourne High Street, which is higher than one might expect because there are lots of hidden flats.&lt;br /&gt;
&lt;br /&gt;

&#039;&#039;&#039;Saturday 15th November 2025 6am – 8pm.&#039;&#039;&#039;&lt;br /&gt;

&#039;&#039;&#039;Sittingbourne Christmas Lights Switch On &amp;amp; All-Day Christmas Market. &#039;&#039;&#039;&lt;br /&gt;
&lt;br /&gt;
This letter is to advise you in advance of the event in the High Street and lower part of Central Avenue, within the approved road closure area. &lt;br /&gt;
&lt;br /&gt;
&#039;&#039;&#039;For safety reasons, it will not be possible to permit delivery vehicles into the road closure area so please make alternative arrangements if this will affect you.  There will be no access for non-event vehicles and pedal cycles for the entire length of the road closure. This includes the lower end of the High Street.&#039;&#039;&#039;  A large number of stalls are booked, which are expected to fill the entire length of the High Street so it will not be possible to move vehicles along the road if you have left them within the event boundary. If you need your vehicle before 8.00pm, please park elsewhere. &lt;br /&gt;
We hope that the day will be one of enjoyment for residents and those in local businesses alike, and that it is a day of prosperous trading for High Street and Central Avenue-based businesses.   &lt;br /&gt;
&lt;br /&gt;
To allow for the safety of all involved, plus setting up and clearing away, the usual Saturday road closure has been extended.  The area closed is as follows:&lt;br /&gt;
&lt;br /&gt;
High Street – from the junction with Station Street to the junction with Bell Road.&lt;br /&gt;
&lt;br /&gt;
Central Avenue – from the road closure barrier by the roundabout to the junction with High Street.&lt;br /&gt;
&lt;br /&gt;
Nellie’s Alley – from the car park boundary to the junction with High Street.&lt;br /&gt;
&lt;br /&gt;
Time of closure:&lt;br /&gt;
&lt;br /&gt;
6am – 8pm Saturday 15th November 2025.&lt;br /&gt;
&lt;br /&gt;
The event is covered by a road closure order, issued by Swale Borough Council, under Section 21 of the Town Police Clauses Act 1847. We will provide a copy of the closure order upon request.&lt;br /&gt;
&lt;br /&gt;
Approximate timetable for the day:&lt;br /&gt;
&lt;br /&gt;
6am		Road closure comes into force and fairground is expected to arrive.&lt;br /&gt;
&lt;br /&gt;
7am		Stallholders will start arriving, along with staging etc.&lt;br /&gt;
&lt;br /&gt;
10am	Market opens&lt;br /&gt;
&lt;br /&gt;
11am	Entertainment begins&lt;br /&gt;

5pm		Switch On &lt;br /&gt;

8.00pm	Road closure ends.&lt;br /&gt;

Pedestrian access will be maintained at all times however, please be mindful that during the setting up and packing away period, there may be heavy machinery such as fairground rides being moved around, and slow-moving vehicles dropping off and collecting stalls.&lt;br /&gt;

The actual road closure starts earlier (06:00) and goes until 7pm since the road closure needs to be in place while the many market stalls pack up and leave.&lt;br /&gt;

For the volunteers, the morning starts at 6am or earlier and goes on until after 7pm because any remaining litter needs to be cleared up before leaving.&lt;br /&gt;

We should prepare identity badges on lanyards for the main volunteers.&lt;br /&gt;

We should tell Sittingbourne Police Station about the event in advance because we have had cases where they did not know the event was happening even though Kent Police themselves are one of the consultees on the event planning.&lt;br /&gt;

In 2024 we started giving an award in cooperation with Swale Young Carers to a young person who is a carer. The award was presented on stage on Switch On Day shortly before the switch on.&lt;br /&gt;

There is a pre-meeting of all volunteers and the marshals on the evening of the Thurday before the Saturday switch on.&lt;br /&gt;

* Site manager - the person who is legally responsible for the road closure. Is not supposed to leave the site throughout the entire event.&lt;br /&gt;
&lt;br /&gt;
* Treasurer - Needs to prepare a float for the grotto so that they can give change. Typically about £30 of cash will do. Also collects the grotto takings and pays them in to the bank.&lt;br /&gt;
&lt;br /&gt;
* Stage and arena manager - Overall responsibility for the entertainment acts that are going on on the main and second stages.&lt;br /&gt;
&lt;br /&gt;
* Welfare lead - Checks on and looks after the needs of other volunteers. For example if people are unable to leave their posts then can bring water, food or ask others for assistance etc. Can also offer to stand in for single stall-holders who need to leave their stall to go to the toilet, although this is an unofficial function that is entirely at the discretion of the individuals involved.&lt;br /&gt;

The main stage has a large performance area in front of it so dance groups use the ground in front of the stage and singers use the stage. The performance area is fenced off with crowd control barriers.&lt;br /&gt;

We try to accommodate disabled and wheelchair-bound users by creating an additional fenced off area in front of the performance area which can be opened to allow wheelchair users to have a front row viewing experience. Otherwise they would not be able to see over crowds of standing people.&lt;br /&gt;
&lt;br /&gt;
Some of the entertainments include:&lt;br /&gt;
&lt;br /&gt;
* Local singers and bands&lt;br /&gt;
* Childrens and adults dance groups&lt;br /&gt;
* Signing choirs (i.e. sign language)&lt;br /&gt;

We do not pay for entertainers. Many community groups like the opportunity to perform and do not expect payment.&lt;br /&gt;
&lt;br /&gt;
We have recently expanded from having a single main stage in Central Avenue to having an additional entertainment stage near St Michael&#039;s church at the eastern end of the High Street.&lt;br /&gt;
&lt;br /&gt;
We engage local community radio stations who send along DJs who compere the event. Swale FM have recently started compering the second stage at the eastern end of the High Street.&lt;/div&gt;</summary>

There are 20 lights in total, with 19 in Sittingbourne High Street and 1 in the adjoining Central Avenue.&lt;br /&gt;

Our lights are fitted with remote controls so that they can be switched on all at the same time from a single controller.&lt;br /&gt;
&lt;br /&gt;
The lights are so-called &amp;quot;garland lights&amp;quot; which actually wrap around the streetlight columns rather than hanging out from this. The reason for using garland lights is that they do not require us to pay for load testing of the streetlight columns which would otherwise incur a large cost every 3 years.&lt;br /&gt;

Generally all the committee members are present at Switch On Day in a general capacity, although some roles are more defined:&lt;br /&gt;
&lt;br /&gt;
* Site manager - the person who is legally responsible for the road closure. Is not supposed to leave the site throughout the entire event.&lt;br /&gt;
&lt;br /&gt;
* Treasurer - Needs to prepare a float for the grotto so that they can give change. Typically about £30 of cash will do. Also collects the grotto takings and pays them in to the bank.&lt;br /&gt;
&lt;br /&gt;
* Stage and arena manager - Overall responsibility for the entertainment acts that are going on on the main and second stages.&lt;br /&gt;
&lt;br /&gt;
* Welfare lead - Checks on and looks after the needs of other volunteers. For example if people are unable to leave their posts then can bring water, food or ask others for assistance etc. Can also offer to stand in for single stall-holders who need to leave their stall to go to the toilet, although this is an unofficial function that is entirely at the discretion of the individuals involved.&lt;br /&gt;

As of 2024 we have renamed this competition to &amp;quot;Best Dressed Christmas House&amp;quot;.&lt;br /&gt;
&lt;br /&gt;
The award is in the form of an engraved trophy which is presented by us on the doorstep of the relevant house.&lt;br /&gt;
&lt;br /&gt;
Volunteers look through submitted photos and may visit houses to form an opinion if there is time.&lt;br /&gt;

&lt;div&gt;Each year we publish an invitation on our Facebook group for people to nominate houses with nice Christmas lights on the front of their houses for an award.&lt;br /&gt;
&lt;br /&gt;
As of 2024 we have renamed this competition to &amp;quot;Best Dressed Christmas House&amp;quot;.&lt;br /&gt;
&lt;br /&gt;
The award is in the form of an engraved trophy which is presented by us on the doorstep of the relevant house.&lt;br /&gt;
&lt;br /&gt;
Volunteers look through submitted photos and may visit houses to form an opinion if there is time.&lt;br /&gt;

On the trophy the following message is engraved on a plaque:&lt;br /&gt;

Our activities benefit all sorts of people and cover large parts of Sittingbourne and the surrounding area and villages.&lt;br /&gt;

* Site manager - the person who is legally responsible for the road closure. Is not supposed to leave the site throughout the entire event.&lt;br /&gt;
&lt;br /&gt;
* Treasurer - Needs to prepare a float for the grotto so that they can give change. Typically about £30 of cash will do. Also collects the grotto takings and pays them in to the bank.&lt;br /&gt;
&lt;br /&gt;
* Stage and arena manager - Overall responsibility for the entertainment acts that are going on on the main and second stages.&lt;br /&gt;
&lt;br /&gt;
* Welfare lead - Checks on and looks after the needs of other volunteers. For example if people are unable to leave their posts then can bring water, food or ask others for assistance etc. Can also offer to stand in for single stall-holders who need to leave their stall to go to the toilet, although this is an unofficial function that is entirely at the discretion of the individuals involved.&lt;br /&gt;

We try to accommodate disabled and wheelchair-bound users by creating an additional fenced off area in front of the performance area which can be opened to allow wheelchair users to have a front row viewing experience. Otherwise they would not be able to see over crowds of standing people.&lt;br /&gt;

Some of the entertainments include:&lt;br /&gt;
&lt;br /&gt;
* Local singers and bands&lt;br /&gt;
* Childrens and adults dance groups&lt;br /&gt;

We typically start the sleigh rounds one week after Switch On Day in order to give time for volunteers to recover from that.&lt;br /&gt;
&lt;br /&gt;
We publicise our sleigh rounds on our social media account but we do not announce the exact routes, only the general area. We do not announce the starting point because we do not want large crowds to assemble because small children tend to run out in the road and in front of the sleigh. Also we do not want to disappoint children who arrive expecting to see Santa in the sleigh but instead see the sleigh being set up and Santa possibly arriving in a car first.&lt;br /&gt;

The main stage has a large performance area in front of it so dance groups use the ground in front of the stage and singers use the stage. The performance area is fenced off with crowd control barriers.&lt;br /&gt;
&lt;br /&gt;
We try to accommodate disabled and wheelchair-bound users by creating an additional fenced off area in front of the performance area which can be opened to allow wheelchair users to have a front row viewing experience. Otherwise they would not be able to see over crowds of standing people.&lt;br /&gt;
&lt;br /&gt;
Some of the entertainments include:&lt;br /&gt;
&lt;br /&gt;
* Local singers and bands&lt;br /&gt;
* Childrens and adults dance groups&lt;br /&gt;
* Signing choirs (i.e. sign language)&lt;br /&gt;
&lt;br /&gt;
We do not pay for entertainers. Many community groups like the opportunity to perform and do not expect payment.&lt;br /&gt;
&lt;br /&gt;
We have recently expanded from having a single main stage in Central Avenue to having an additional entertainment stage near St Michael&#039;s church at the eastern end of the High Street.&lt;br /&gt;

Grotto visits are on a first come first served basis. We previously tried getting parents to book and pay in advance but this caused a large amount of admin work both when taking the bookings and also when letting people in when running the event.&lt;br /&gt;
